Setting Up Zoom Scheduler

This article is for Johns Hopkins faculty, staff, and others who want to use Zoom Scheduler to let people book time with them. It covers how to open Zoom Scheduler, create a booking page, connect your Microsoft 365 calendar, and share your booking link.

Opening Zoom Scheduler

You can open Zoom Scheduler from either the Zoom web portal or the Zoom desktop app, also called Zoom Workplace.

For the Zoom web portal:

  1. Go to wse.zoom.us and click Sign In.
  2. Sign in using your JHED ID and password. 
  3. In the left navigation menu, click Scheduler.

 

 

For the Zoom desktop app:

  1. Open the Zoom desktop app on your computer. 
  2. Sign in using the SSO option. This will use your JHED ID and password.
  3. Enter wse into the company domain field.
  4. In the left navigation bar, click Scheduler.  If you do not see Scheduler in the navigation bar, you may need to click More first. 

When opening Zoom Scheduler for the first time, you may be prompted to create a booking page.

Creating a Booking Page

A booking page is the page you share with others so they can see your available times and book a meeting with you.

  1. In Zoom Scheduler, if you are not prompted to created a booking page, click the + blue circle at the top.
  2. In the menu that opens, select Create a booking page.

  3. Select the type of booking page you want to create. For a personal scheduling page, select One to One, then select Next.
  4. Select the host of the Zoom meetings when a booking is made. This should display you as the host. Then select Next.
  5.  Enter the details for your booking page, including the duration, availability, options preventing last-minute bookings, reminder settings, and any other scheduling options you would like to use.
  6. Click Finish to save the booking page.

After the booking page is saved, Zoom may prompt you to connect your calendar.

Note: Recurring booking pages stay active until you turn them off. Custom booking pages expire after the scheduled date has passed.

Connecting Your Calendar

Connecting your Microsoft 365 calendar allows Zoom Scheduler to check your availability and helps prevent double booking. 

  1. When prompted, click Sign in with Microsoft or Connect next to Outlook Calendar.
  2. On the sign-in page, sign in with your JHED ID and password. 
  3. Review the permissions Zoom Scheduler is requesting.
  4. Click Allow to grant access to your Outlook calendar. 

Once the connection is complete, Zoom Scheduler can use your calendar availability when someone books time with you. 

Note: If your calendar connection stops working later, you may need to reauthorize Zoom Scheduler.

Sharing Your Booking Link

Once the booking page is created and your Outlook calendar is connected, Zoom will provide a link that you can share with others.

You can copy that link and send it anywhere you want people to schedule time with you, such as in an email, on a course page, or in a message.
