Zoom scheduling privilege lets someone schedule meetings on another user’s behalf and act as an alternative host. WSE Zoom users can use this guide to grant scheduling access and schedule meetings for a colleague.
Before You Begin
Both users need licensed Zoom accounts in the same WSE Zoom account. If your colleague uses another JHU Zoom account, contact CMTS before proceeding.
Use the email address shown under Sign-In Email in your WSE Zoom Profile. Do not assume it matches your usual email address or JHED ID. Send this address to the colleague whose meetings you will schedule so they can grant you access.
Granting Scheduling Privilege
- Sign in to WSE Zoom Settings.
-
Select the Meeting tab.
-
Under Other, locate Schedule Privilege.
- Next to Assign scheduling privilege to, click Add.
-
Enter the delegate’s Zoom sign-in email address under Users.
Select Can manage my private events only if the delegate needs access to private event details.
-
Click Save.
After saving, confirm that the delegate appears under Assign scheduling privilege to. If Zoom displays an error, check the sign-in email address and confirm that both users have licensed accounts in the same WSE Zoom account.
Scheduling Meetings on Someone Else's Behalf
After your colleague grants access, their account appears under I can schedule for in your meeting settings. Sign out of the Zoom Workplace app and sign back in with your WSE Zoom account to refresh your access.
In the Web Portal
- Open the Schedule Meeting page.
-
Under Schedule For, select the colleague.
- Enter the meeting details and click Save.
In the Zoom Workplace Desktop App
- Open the meeting scheduling window.
-
Select the colleague under Schedule for. Depending on your app version, this may appear under More Options → Meeting Settings.
- Enter the meeting details and click Save.
